Core Requirement - 3.4.5

The institution publishes academic policies that adhere to principles of good educational practice. These are disseminated to students, faculty, and other interested parties through publications that accurately represent the programs and services of the institution.

Judgment of Compliance:  Compliance

Narrative/Justification for Judgment of Compliance:

Southwest academic and student affairs policies are included in the following publications: The Southwest Tennessee Community College Catalog [1], the Schedule of Classes [2], Faculty Handbook [3], and Student Handbook [4]. In addition, all policies of Southwest Tennessee Community College are posted on the Southwest Intranet  Each Southwest publication has a separate review process coordinated by the office responsible for the publication.

Southwest Catalog
Sections of the catalog [1] are sent to appropriate administrative/academic offices for separate review. Prior to this review process, any changes in courses or programs are sent to the Curriculum Committee for approval. Academic deans and department chairs are responsible for reviewing academic portions of the catalog. Revisions are forwarded from the administrative offices and academic deans and department chairs to appropriate administrative office. Revisions are then reviewed and approved before a final printing of the catalog. The Southwest Catalog is available in the offices of Admissions, Student Activities, Advising and Counseling, and other appropriate administrative offices across the campus and the Southwest web site at
www.southwest.tn.edu/catalog .

The catalog contains policies governing Academic and Student Affairs operations of the college:

1. Academic Policies – from admission to graduation
2. Degrees/certificates – academic requirements
3. Student services – including financial aid
4. Special/targeted programs
5. Academic programs

Schedule of Classes
Academic department chairs are responsible for reviewing course offerings from the previous year and updating them for the current year. Chairs, or department coordinators, enter the schedule directly into the Student Information System (SIS) and notify academic deans who ensure that schedules are complete. Once the department chairs or coordinators have entered schedules into SIS, the Dean of Mathematics, Health Sciences, and Natural Sciences verifies that the information on the schedule screens in SIS matches what department chairs have entered into the system. The schedule is sent to the department of printing and graphic services as an electronic file from SIS. The Schedule of Classes [2] contains those procedures that relate to the registration process.

Faculty Handbook
A faculty senate committee at Southwest conducts an annual review of the Faculty Handbook [3] and suggests changes or updates. Suggested revisions in policy or procedure are then passed from the Faculty Senate to the Provost and to the academic deans for consideration and approval. Faculty handbooks are available online at the Southwest intranet.

Policies contained in the Faculty Handbook include:

1. Faculty duties and responsibilities
2. Types of faculty appointments
3. The tenure process
4. Curriculum review and development

Information relating to the following is also included:

1. Personnel policies and benefits
2. Professional ethics
3. Student financial aid
4. Travel policies and procedures

Student Handbook
The Dean of Student Services and Enrollment Management supervises the annual revision and printing of the Student Handbook. [4] The Dean contacts directors of pertinent areas asking for changes or necessary revisions. Directors of Admissions, Advising and Counseling, Office of Disabled Students, Career Services, Child Care, Financial Aid, Testing, Upward Bound, and Student Activities and Multicultural Affairs review the appropriate sections of the handbook and suggest changes or revisions for their area. Directors then send proposed revisions to the Dean of Student Services for final approval. The Student Handbook is available on the Southwest web site, at Student Activities, and from the office of the Dean of Students.

Policies and procedures included in this publication are:

1. Advising and counseling
2. ADA policies and procedures
